How much does it cost to outsource customer service? For small teams
Outsourced customer service is priced per hour, per agent per month, or per ticket. One consultancy's estimates put offshore support at about $8 to $15 an hour, against $30 to $45 onshore. For a small team, the real cost depends on your ticket volume and minutes per ticket, so measure those first and compare with a quote.

The usual pricing models
| Model | How it works | Estimated range | Fits best when |
|---|---|---|---|
| Per hour | You pay for hours worked | $8 to $15 offshore; $30 to $45 onshore | Volume is steady but not enough for a full-time agent |
| Per agent (FTE) per month | You pay for a dedicated full-time agent | $1,200 to $2,500 offshore; $5,000 to $9,000 onshore | You have enough work to keep agents busy all day |
| Per ticket or contact | You pay for each ticket handled | $1 to $5 a ticket | Volume goes up and down from month to month |
| Hybrid or performance-based | A base fee plus targets, or a mix of the above | Varies | You want quality targets written into the price |
Per-agent pricing assumes there is enough work to keep an agent busy full time. With a few hundred tickets a month, per-hour or per-ticket pricing usually fits a small team better.
Turn your tickets into a yearly cost
Start from your own numbers: how many tickets arrive in a month, and how long one takes to answer. The calculator turns that into weekly hours, then compares an onshore employee with an offshore quote plus your own review time.
That is about 23.1 hours of work a week.
Onshore costs about $36,982 a year for this work. Enter an offshore quote to compare.
Defaults: $21.53 is the US median hourly wage for customer service representatives (BLS, May 2025). 43% on-costs reflects US private-industry benefits relative to wages (BLS, June 2026). 10 minutes a ticket is close to the average contact handle time in MetricNet's IT service desk data (2012); measure your own.
In the UK, the National Living Wage is £12.71 an hour from April 2026, and employers add National Insurance and pension on top. Switch the numbers to your own.
What pushes the price up or down
| Pushes the cost up | Brings the cost down |
|---|---|
| Phone support, live in your hours | Email and chat, answered in batches |
| Cover around the clock | Cover during set hours |
| Several languages | One language to start |
| Answers that need judgement every time | Your top questions answered from written replies |
| Volume that spikes without warning | A forecast shared each month |

What to keep with your own team
- Refunds, credits and exceptions to your policy. The outside team can draft them, and your team approves.
- Complaints that could become legal or public, and your most important accounts.
- Changes to your policies and templates. The outside team works from what you write down.
Splitting the work like this keeps decisions with you and sends the repeatable part out. Our guide on what to outsource first shows how to split a task.
Customer data and the law
Your support team will see customer names, emails and order details. Under UK and EU data protection law, that makes the provider a processor: you need a written contract with the required terms, the provider needs your written permission before using any sub-processors, and you stay responsible for how they handle the data.
Give access only to what the work needs, such as the helpdesk and order lookups, not admin rights to every system. Our cost and GDPR guide covers the transfer clauses for teams outside the UK and EU.
How to start small
- Export last month's tickets and tag the 20 most common questions.
- Write the best answer to each one. Our brief builder helps you put the rules on one page.
- Time how long your own team takes on a sample of tickets, and put the real minutes into the calculator.
- Start with email or chat, with your team approving replies for the first week.
- Measure the share of replies you had to change, and your own review time, before handing over more.

Questions
How much does it cost to outsource customer service?
It depends on the pricing model and your volume. One consultancy estimates offshore support at about $8 to $15 an hour and onshore at $30 to $45. Use your own ticket numbers and a real quote to compare.
Is it cheaper to outsource customer service than to hire?
Often, especially for written support. An in-house agent costs a wage plus employer on-costs, while an outside team charges for the work, plus the time you spend reviewing it.
Can a small business outsource customer service?
Yes. With a few hundred tickets a month, per-hour or per-ticket pricing usually fits better than paying for a full-time agent.
How many tickets can one agent handle?
It depends on how long each takes. At about 10 minutes a contact, MetricNet's service desk data puts an average agent at around 500 contacts a month.
What customer service should stay in-house?
Refunds and exceptions to your policy, complaints that could become legal or public, and your most important accounts. The outside team can prepare them for your approval.
